Job Title: Workspace Coordinator – WPHI

Hours: 32 per week during office hours (8:30 – 4pm) Monday – Friday, with the opportunity for further hours outside of this
Salary: £23,362.56 per annum / £14.04 per hour
Contract: Fixed Term until 31 March 2027, with the possibility of extension

About Us

Withington Works is a thriving co-working space. Operating since 2019 in our original space, situated above Withington Baths community run leisure centre and swimming pool, has now grown to host over 30 regular members and 400 day pass visits per year.

In November 2025 we expanded and opened our second co-working space at Withington Public Hall Institute CIC (WPHI). We are open at WPHI during the daytime 9am–4pm for casual café-style co-working.

Withington Works holds socials and runs a professional support network for Withington and the local area. Our mission is to bring people together and support local enterprise through accessible, welcoming spaces.

Withington Public Hall Institute CIC (WPHI) is a vibrant, community-led social enterprise located in a historic space in the heart of Withington, South Manchester. As both a community venue and a neighbourhood pub, WPHI are all about people, pints – and now, productivity.

Outside of co-working, WPHI hosts a diverse range of cultural and social events in the evenings, including live gigs, comedy, talks, club nights, and more. The spaces are WPHI are also hired out for meetings, community groups, private parties, training, choir practice and networking events.

Our Withington Works space at WPHI is supported by a UK Government grant from Manchester City Council. This enabled Withington Works to expand our co-working space into Withington Public Hall Institute (WPHI). This year WPHI have been awarded an Economic Development & Regeneration Flexible Grant 2026/7 from Manchester City Council, which will continue to support the co-working space at WPHI and Withington Works events programme.

About the Role

We are looking for a warm, organised and proactive Workspace Coordinator to support the daily running of our co-working space at WPHI. You’ll be the friendly face that welcomes co-working guests, coordinate daytime venue hire bookings during co-working hours, lead on our programme of events to support local enterprise, and helps ensure that both our workspace offerings run smoothly.

Whilst the focus of the role will be around the Withington Works co-working offer at WPHI, we would like the successful candidate to support with venue operations at WPHI, supporting the Directors and wider team. This could include administrative tasks such as bookings, venue logistics, accounts and promotions, to help ensure that WPHI runs as smoothly as possible.

This is a varied and rewarding role for someone who enjoys working independently, thrives in a community-focused environment, and has a passion for making spaces feel inclusive, welcoming and productive.

The role is circa 32 hours per week. This could be split across 4 or 5 days, between 8:30am – 4pm Monday to Friday, and further hours to work with WPHI could be available outside of office hours. We’re happy to discuss flexible working patterns and job share arrangements.

Key Responsibilities

Co-Working Host

  • Act as the main daytime on-site host and keyholder for the co-working space (open 9am–4pm, Monday – Friday)
  • Work with the Withington Works Coordinator to ensure the smooth operation of the space
  • Greet members, visitors, and new users – ensure they feel welcome and supported
  • Manage day pass and membership payments
  • Monitor attendance, maintain member records and track memberships
  • Ensure refreshment areas are well-stocked and clean
  • Open the venue each morning and set up the space for co-working ready to open at 9am
  • Transition the space back to hospitality use at the end of co-working hours when required
  • Ensure co-working space etiquette is followed so the space remains a productive and professional environment
  • Help maintain a clean, tidy and well-organised environment
  • Help ensure facilities, tech, and workspace needs are met
  • Assist with social media, communications and marketing tasks to promote Withington Works across a range of channels including social media and newsletters
  • Assist in the development and running of the Withington Self-Employment & Small Business Network

Events and Bookings

  • Lead on delivery of Withington Works events programme – a programme of events aimed at supporting local enterprise
  • Manage budget for events programme and maintain an accurate record of project spend
  • Support with event bookings and hires at WPHI, including calendar coordination, client liaison, pre-arrival information and invoicing
  • Support setup and delivery of events, training, and community group bookings
  • Seek to form connections and partnerships with other organisations
  • Seek opportunities to maximise use of the space at WPHI during the daytime

General Administration, Coordination & Operations Support

  • Support daily building operations at WPHI, including deliveries, maintenance coordination and general building upkeep.
  • Coordinate email and social media inboxes, responding to general enquiries
  • Liaise with the Withington Works Coordinator and WPHI team
  • This role may require occasional evening work to support co-working and networking events and workshops
  • Option to take on additional paid evening or weekend operational shifts for WPHI

Person Specification

Essential

  • Friendly, approachable, and great at making people feel welcome
  • Excellent customer service skills
  • Ability to work independently and take initiative
  • Interest in or commitment to working for a community-based organisation
  • Confident team player with good communication skills
  • Highly organised and reliable
  • Administration skills, attention to detail, ability to maintain accurate records and systems
  • IT Skills, including proficiency in using application such as Microsoft Excel, Outlook and Google Sheets and Google Calander.
  • Experience in venue operations or duty management
  • Experience managing bookings or working with calendar systems
  • Ability to troubleshoot

Desirable

  • Hospitality experience (bar, café, restaurant, etc.)
  • Keyholder experience
  • Familiarity with co-working spaces or community hubs
  • Social media or digital marketing skills, such as familiarity with Canva, Mailchimp, WordPress
  • Venue or event booking and/or event management experience
  • Office or facilities management experience
  • Experience of, or interest in, social enterprise, self-employment, professional networks or business support programmes
  • Financial administration or budget management
  • Stakeholder management and liaison
  • Basic knowledge of AV to support event bookings
